Management Associate, PCYA & SCHRPP
The Position: This position will provide administrative staff support and technical assistance to two (2) County Commissioners Association of Pennsylvania (CCAP) Affiliate organizations, the Pennsylvania Children and Youth Administrators (PCYA) and The Society of County Human Resource Professionals of Pennsylvania (SCHRPP). The majority of the time this position will support PCYA, the remaining time this position will support SCHRPP. Direct supervision will be provided by the PCYA Executive Director.
The mission of the PCYA is to enhance the quality-of-service delivery for children, youth and their families by providing for its members:
1) A forum for the exchange of information,
2) Assistance in educating the general public and its constituencies, and
3) An environment of support for the Association membership.
The goal of SCHRPP is to advance the profession of human resources, particularly in Pennsylvania counties by improving the professional development of county human resource personnel and enhancing the services available to county human resource personnel.

GENERAL RESPONSIBILITIES
- Assist PCYA and SCHRPP Executive Directors with seeking proposals for meeting/conference locations, including requests for proposals and site visits.
- Provide coordination and scheduling for SCHRPP meetings and events along with PCYA policy committee meetings and workgroups; compile agendas and minutes.
- Execute site logistics and speaker contracts for conferences, vendor fair and other events sponsored by PCYA and SCHRPP.
- Attend, as requested, all PCYA and SCHRPP Board meetings and conferences, membership meetings and trainings, including overnight travel when necessary.
- Assist in the maintenance of the PCYA and SCHRPP websites, membership calendars, electronic mail groups, and membership databases.
- Conduct surveys of the memberships on various issues and prepare analysis of the results.
- Respond to member inquiries and other requests for information.
- Develop understanding of CAPS system and assist CAPS Governance Board as requested and needed to support the IT technical support contract.
- Develop understanding of county Human Resources processes, practices, systems, and priorities to support county engagements.
- Independently develop materials and engage in marketing efforts to build and maintain associate memberships for PCYA and SCHRPP.
- Monitor dues payments, invoices, and follow-up on collections as needed.
- Perform other duties as assigned by the Executive Director for PCYA and SCHRPP
QUALIFICATIONS
Experience and Education:
- A Bachelor’s degree in administration, public policy, social services or related field, or equivalent experience and training.
- Valid PA driver’s license
- Ability to pass ChildLine, State Police, and FBI child abuse and criminal clearances.
An equivalent combination of experience and education will be considered satisfactory for the position.
Required skills and knowledge
- Attention to detail and the ability to independently create solutions with minimal oversight.
- Knowledge of, and experience with meeting and event planning.
- Excellent verbal and written communication skills.
- Highly computer literate with capability in email, MS Office, databases and related business and communication tools.
- Knowledge of the operation of office equipment including copiers and printers.
- Strong decision making and problem-solving skills.
- Strong time management skills.
- Knowledge of behavioral health services, particularly County Children and Youth Administrators services, strongly encouraged.
- Keeping a work schedule within the standard office hours of the Association
- Requires some travel to conferences and other external events and meetings as necessary, which may include instances requiring overnight stays.
- The position may require standing or sitting for extended periods of time and the ability to operate computer equipment essential to the completion of the position's responsibilities.
- Driving to work-related activities will be required and possessing and maintaining a valid driver’s license is required.
