​The CCAP Annual Conference and Trade Show is the Association's premiere event, hosting more than 500 guests over the duration. The Conference features timely speakers, great educational sessions, exhibitors and time with your colleagues. While we are unable to accommodate guest and child registrations for the Conference this year, we still encourage members to bring their families to Hershey to enjoy the local attractions. Sponsorships and exhibit booths are available to vendors. 


The CCAP Annual Conference is currently scheduled to be held as an in-person meeting event. CCAP is committed to providing a safe Conference environment for all attendees. CCAP staff, in partnership with the Hershey Lodge, will continue to monitor the evolving pandemic situation along with federal, state and local safety protocols. Our intent is to present the Annual Conference in a manner that ensures the safety of our attendees, CCAP staff and conference facility employees while still delivering the education, speakers, networking and exhibit opportunities that are hallmarks of our Conference.

    We will be using the CCAP Events mobile app for all Conference materials in lieu of a printed program. All Conference attendees received information via email on how to download the app. Instructions will also be provided at the Conference Registration Desk.

​CCAP is committed to taking precautions that provide a safe environment for all event attendees and staff. The association has developed Commitment to Well-Being guidelines and safety practices that all registered attendees are expected to follow. By checking the boxes during the online registration process, you are agreeing to adhere to these guidelines and safety practices.  

Online registration is now closed. To make changes to an existing registration or to submit a new registration, please contact Jeannette Hunter at (717) 736-4771 for county members or Mandi Glantz (717) 736-4739 for vendors. Changes to existing registrations after 4 p.m. on July 29 will need to be administered on-site.
The on-site registration desk is located in the Hershey Lodge and will be open:
  • Sunday, August 1
    County Member Registration: 2 to 6 p.m. (Chocolate Lobby) 

    Vendor and Exhibitor Registration: 2 to 6 p.m. (Great Lobby, Outside Blue Room)
    *There will be no access to the exhibit hall for early setup; all exhibit setup will occure from 7:30 to 10 a.m. Monday, August 2.
  • Monday, August 2
    General Conference Registration: 7:30 a.m. to 4 p.m. (Chocolate Lobby)

    Exhibitor Registration: 7:30 to 10 a.m. (Great Lobby, Outside Blue Room)
  • Tuesday, August 3
    Conference Registration: 8 a.m. to 3:30 p.m. (Chocolate Lobby)
  • Wednesday, August 4
    Conference Registration: 8 to 11 a.m. (Chocolate Lobby)


PROMO: Get four registrations for the price of three! Register four county members online and CCAP will reimburse the county for the fourth person's registration fee after the Conference.

*At this time, exhibit space is currently filled to capacity and online registration is closed for exhibiting vendors.
Information for Registered Exhibitors
Additional information is available for registered exhibitors including the booth selection process and drayage services such as electricity, shipping, additional furniture, etc.


Advance payment of all fees is required prior to the Conference. No booth assignments will be made and no badges or meal tickets will be issued until payment in full is received. Registrations are transferable to another individual prior to the Conference start date; registered no-shows will be billed. Please understand that we must adhere to these deadlines and policies in order to ensure accurate registration and hotel planning.

All cancellations must be submitted via email to Jeannette Hunter and must be received by 4 p.m. on July 16, 2021 to qualify for a refund. No telephone cancellations will be accepted. A $50 administrative fee will be deducted from each refund requested per valid cancellation if received prior to 4 p.m. on July 16, 2021; cancellations received after 4 p.m. on July 16 cannot be refunded. Regardless of initial payment method, all refunds will be issued via check from CCAP.

Cancellation of Booth Space: Cancellations must be submitted via email to Mandi Glantz and must be received by 4 p.m. on July 5, 2021. No telephone cancellations will be accepted. A $50 administrative fee will be deducted from each refund requested. Cancellations received between 4 p.m. on July 5 and 4 p.m. on July 16 will also be subject to an additional cancellation fee of 20 percent of the booth space purchase price. No refunds will be issued for cancellations received after 4 p.m. on July 16. Regardless of initial payment method, all refunds will be issued via check from CCAP.

The deadline to reserve rooms at the Hershey Lodge for the Conference group rate was July 9, 2021, and the block is now sold out. The Lodge does not have a waiting list, but you may contact the hotel at (855) 729-3108 to check for cancellations. Alternate lodging options in the Hershey area are listed below.
Check in time is 4 p.m. and check out time is 11 a.m. Late checkouts cannot be guaranteed for Wednesday. The Lodge will store your luggage until the Conference concludes.
Self parking at the Lodge in any surface lot is complimentary. Valet parking in the parking garage is available for $27 per day.
Direct Bill Information for Counties: Counties needing to establish a direct billing account for their Conference overnight room charges must first make your room reservations by phone by calling (855) 729-3108 and securing the room with a credit card. After the room reservation is made, please download and complete the hotel's direct billing application (PDF). The Hershey Lodge also requires a letter on county letterhead to accompany the application. The letter must state your county would like to establish a direct billing account, what charges the county will pay for, a list of county staff covered by the direct bill, their room reservation confirmation numbers and the dates of their stay. Include your correct billing address and the county contact responsible for approving the final bill. The Hershey Lodge has compiled a list of several hotels in close proximity to the Lodge. Please contact the individual hotels to inquire about their rates over the CCAP Annual Conference dates. CCAP has not established blocks at the alternate hotels.

There will be no printed Conference Program distributed on-site this year. A Conference Supplement will be printed and mailed with the Fall edition of Pennsylvania County News magazine (mid-October) to the full CCAP membership.

Vendor Night - Monday, August 2 
CCAP has not scheduled any events this evening to allow vendors to host public or private hospitality functions or events.


Annually, CCAP recognizes individuals who have made significant contributions to county government. The 2021 CCAP Annual Awards will be presented at the CCAP Annual Conference at the Hershey Lodge on Tuesday, August 3 at 6:30 p.m.:  


Road and Bridge Safety Improvement Award Program
Each year, CCAP, the Pennsylvania Highway Information Association (PHIA) and the PA Department of Transportation (PennDOT) work together to recognize the best road and bridge safety improvement projects undertaken by local governments across the commonwealth. The 2021 award will be presented during the CCAP Fall Conference in November.


CCAP Gift Drawings

All registered CCAP county members have the opportunity to participate in prize drawings during the Conference. The drawing prizes are items donated by counties attending the Conference. Full details are available on the Gift Drawing Flyer (PDF).
Annual Golf Outing
Colonial Country Club
Sunday, August 1
Tee Times Between 1 and 3:30 p.m.
Mazzitti & Sullivan EAP Services, Cardinal Crossings, and CGL Companies, invite you to enjoy a round of golf on Sunday, August 1 as part of the CCAP Annual Conference. The Colonial Country Club is about 13 miles (a 20-minute drive) from the Hershey Lodge. It is a well-known and enjoyable course. Because of the fluid nature of this year's event, this will not be a tournament. There are limited tee times for Sunday afternoon. County elected officials and staff will get first priority for tee times. As space permits, times will be opened to vendor participants. Response is required by July 1 to lock in a tee time; tee times are available between 1 and 3:30 p.m.

Conference-Wide Evening Event
Hershey Country Club
Monday, August 2 at 6 p.m. 
CS McKee invites all Conference attendees to enjoy an evening of fun and relaxation on Monday evening of the Conference at the Picard Grand Pavilion, at the Hershey Country Club. The evening will start at 6 p.m. with cocktails and dinner at 6:30 p.m. with plenty of indoor and outdoor seating complimented by beautiful views. CS McKee will provide guests with driving direction to the pavilion, located approximately 3.9 miles from the Hershey Lodge. Dress is summer casual.
